Key Accountabilities
The responsibilities of this role may evolve to meet the needs of Fire Security Services Ltd (Part of the Allsaved Group) and its clients, with key accountabilities including:
Client & Colleague Support
Act as the first point of contact for clients and colleagues, managing enquiries relating to jobs, quotes, and invoices.
Provide day-to-day support to engineers and risk assessors as required to enable prompt and effective execution of their work.
Assist colleagues and managers to promote efficient operations and client satisfaction.
Build and maintain effective relationships with clients, colleagues, and external partners through communication, collaboration, and training.
Operational Duties
Scheduling of pre-planned maintenance and remedial jobs according to engineers' skills and locations.
Advising customers of booking dates and confirming visits.
Ensuring visits are as profitable as possible by proactively identifying opportunities to minimise costs to company.
Liaising with contractors and suppliers, providing work and purchase orders.
Ordering and processing of stock.
Taking in and receipting deliveries (including manual handling).
Creating quotations.
Data cleansing.
Checking and issuing of job reports to customers.
Generate invoices for completed work.
Evaluate existing operational processes and workflows. Identify areas for improvement, propose solutions, and implement changes to enhance efficiency and effectiveness.

Represent Fire Security Services’ brand through high personal and professional standards.
Complete work within scheduled timeframes and required quality standards.
Stay informed of relevant legislation, organisational policies, and codes of conduct.
Ensure adherence to Quality, Environmental Health and Safety standards, including PPE, accident reporting, and internal safety protocols.

Person Specification
Knowledge & Expertise
In-depth knowledge of organisational systems, procedures, and policies in a relevant area (essential).
Proficiency in IT and management systems, including handheld devices, for accurate data entry (essential).
Awareness of the Fire Safety Industry’s standards and responsibilities (desirable).
Qualifications
GCSE or equivalent in Maths and English (desirable).
Full UK driving licence (desirable).
Experience
Background in a related field, with experience working with external partners in a client-focused environment.
Skills
Ability to organise and prioritise tasks efficiently.
Strong organisational and planning skills.
Work effectively both alone and as part of a team, assisting colleagues and management.
Strong communication and interpersonal skills for effective interaction with clients and team members.
Proficient in Microsoft Office, Google Drive and other relevant software for data and word processing.
High-level literacy and numeracy, with clear presentation of information in verbal, written, or electronic formats.
